Position Summary:
Shoup’s Catering and Events Senior Coordinator - Corporate/Purdue Specialist will work with Catering Director to orchestrate exceptional events through coordination between clients and Shoup’s Event Teams. This part time Senior Coordinator is responsible for the organization and execution of catered events.
The Director and Coordinators will meet with all potential catering and events clients and lead meetings and tastings to help guide clients through the event process. They will provide accurate pricing information and event quotes based on client’s selections. The Coordinator will be upselling all food selections, décor, linens, rentals, and meal services, as well as coordinating closely with event planners. They will also offer our other services, such as On the Rocks Mobile Bar (OTR), in house Florals and Decor, and our venue, Arborwood.
This position should focus on maintaining and building relationships with our clients as well as members of our entire Shoup Family of Businesses.
Position Job Responsibilities:
· Lead meetings and tastings with potential catering and events clients
· Develop quotes using Caterease software for catering clients and present during meetings
· Manage online inquiries from Shoup’s website and social media
· Coordinate with OTR Bar Manager and our in house Florist to upsell all Shoup’s products
· Upsell décor, dishware, linens, silverware, glasses and more in client meetings
· Oversee Catering staff to ensure quality service for every event
· Attend staff meetings to inform employees of event details
· Attend weekly meetings with Kitchen Manager and Packing Coordinator
· Work with Arborwood Coordinator for Arborwood events
· Train and mentor team members
· Maintain and update catering calendar as needed
· Schedule event planners and staff as needed
· Assist with general office tasks
· Provide job assignments to catering staff for events
· Work with marketing manager for social media posts and promotional materials
Preferred Skills and Experience:
This position is part time but could work into a full time position if interested. It is best suited for an energetic leader who is passionate for the hospitality and event industry. Strong and effective communication and organizational skills are necessary. 2 years of catering/event coordination and sales experience is preferrable. Must be able to work some nights and weekends. Must work well with technology and have a basic understanding for catering programs and office software. ServSafe training will be available but not a requirement. We do not usually work holiday weekends to allow our employees to spend time with their families.
