Job DescriptionFront Desk AdministratorJob Overview

The Front Desk Administrator plays a vital role in managing our reception area while supporting internal departments with various administrative tasks. This person serves as the first point of contact for guests and callers and supports internal workflows that directly impact the customer experience.

Essential Duties and Responsibilities

  • Welcome and direct visitors in a professional and friendly manner
  • Answer and route incoming calls courteously and efficiently
  • Maintain a clean and organized reception and kitchen area
  • Handle incoming/outgoing mail, packages, and deliveries
  • Provide general administrative support, including filing, photocopying, and data entry
  • Manage the Estimating Department inbox and create workflow assignments for SA (Stone App) and QXM
  • Organize new and revised quotes, signed quotes/POs (job awards), and pre-job viewing appointments
  • Support the Customer Service team with communication tasks such as:
  • Sending appointment arrival confirmations
  • Creating and organizing digital job files for field personnel
  • Settle daily credit card transactions and maintain batch records
  • Follow established daily opening and closing office procedures
  • Perform other tasks and special projects as assigned

Requirements

  • High school diploma with a minimum of 2 years experience in an administrative role
  • Strong communication, organizational, and time management skills
  • Friendly, courteous, and professional demeanor in a fast-paced environment
  • Excellent grammar, spelling, and writing proficiency
  • Fluency in English, both spoken and written
  • Proficiency in Microsoft Office, navigating network files, and using web-based applications
  • Ability to work independently and manage shifting priorities with a proactive mindset
  • Must possess a mobile device to access company communication tools (email, text, phone)

Physical Requirements

  • Office-based role with some interaction in warehouse environments
  • Regular business hours (MonFri) with occasional overtime for special projects
  • Must be comfortable multitasking and working with various teams and stakeholders
  • Able to lift up to 30 lbs. unassisted (e.g., stone samples, sinks, packages)
