Job Description

Job DescriptionEssential Duties/Responsibilities:
Provide internal and external customer service with the intent of promoting values.
Exhibit strong written and interpersonal communication skills.
Oversees process of and assumes responsibility for timely and accurate completion of office functions: to include coordinating and scheduling meetings, calendars, agendas and/or meeting notes.
Coordinates workloads and information with Directors and other designees which may include:
a. overseeing maintenance of office equipment for department and communicating facility needs to Facilities Director as needed
b. maintaining inventory/ordering office supplies
c. maintaining accounting records for Directors and designees and submits all expense related information as required by Finance department
d. collecting, recording, depositing moneys
e. schedules and supports Directors’ calendar on a daily and weekly basis to include coordinating and scheduling meetings, calendars, agendas and/or meeting notes.
f. submitting/approval of payroll information, timesheet approval, leave approval, PAF processing, review of check requests and credit card expense reports requests approval, etc.
g. assembling, editing, tracking, and/or sending word documents for processing/communications or data points

Job Qualifications:

•Honor and practice transparent communication.
•Knowledge of office practices and operation of standard office appliances, including desktop computers and copy machines
•Knowledge of secretarial and administrative procedures as applied to a large department
•Knowledge of standard accounting procedures and practices as applied to the requirements of standard finance practices
•Ability to operate keyboard devices at a moderate speed
•Ability to organize and direct office services for a large department
•Ability to use standard database, spreadsheet and word processing software effectively to include Microsoft Office 365
