Title: Receptionist

Location: Bronx, NY

FLSA Classification: Full-time (35 hours), Non-exempt

Role Summary: The Receptionist will greet visitors and assist them in navigating throughout the office. The Receptionist will watch for any unlawful or unsafe activity and notify the authorities should any issues arise. He/She will inspect the grounds for possible hazards. The Receptionist must have an eye for detail, sound judgment and objectivity when making observations or filling out reports. The Receptionist will also receive and log all deliveries from both internal and external parties and assist with general office duties as required.

Primary Job Responsibilities/Duties:

The Receptionist responsibilities include, but not limited to:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office reporting by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Keep inventory of stock supplies
  • Assist with office labor when needed such as setup/set down furniture and fixture
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Other duties as assigned

Physical Requirements:

  1. The physical demands include, but are not limited to, standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching and bending.
  2. Ability to sit for extended periods and perform repetitive tasks and working on a computer.
  3. Must be able to lift and carry up to 25 pounds.
  4. Must be able to travel to multiple NYC sites as needed.

Work Environment / Schedule Requirements:

  1. Able to adjust to changes conditions
  2. Office setting with regular exposure to computer screens and moderate noise levels.
  3. May be required to work shifts, including evenings or night tours and/or Saturdays, Sundays and holidays with holiday pay differential.

Qualifications:

  • High School Diploma/Equivalent required with a minimum of 2+ years in a security or receptionist role
  • Proven ability to handle multiple tasks effectively under pressure while successfully
  • Strong organizational skills, detail-oriented, and efficient
  • Verbal and written communication skills
  • Willingness to learn and enforce safety procedures
  • Comfort with directing people or taking up leadership responsibilities
  • Emotional intelligence and good character judgment Interacting with other departmental staff;
  • Perform general clerical duties
  • Develop contacts in the community for referral purposes
  • Develop and maintain good communication with other programs and units within the organization to facilitate inter-agency referrals
  • Provide coverage for other areas as directed/needed
  • Must be able to read, speak, write, and understand English for administrative purposes.
  • Must pass drug screening to be appointed.
  • This position may be subject to a series of investigations before and after appointment.
