We are currently seeking a Front Desk Administrator who will also serve as our Treatment Plan Coordinator a confident, organized, and service-driven team member to become the face and voice of our practice.
Key Responsibilities:
Front Desk Administrative Duties
- Greet patients warmly and create a welcoming, professional environment
- Answer incoming calls, respond to voicemails, texts, emails promptly and professionally
- Schedule, confirm, and manage patient appointments with efficiency
- Maintain the front office and reception area clean, tidy, and organized at all times
- Collect and verify patient information, ID, and insurance data
- Accurately enter data and scan documents into our dental software system (OpenDental)
- Monitor patient flow, alert team of schedule updates, and help optimize daily efficiency
- Receive, open, and organize mail and packages
Treatment Plan Coordination
- Review dentist-recommended treatment plans with patients and clearly explain options
- Educate patients on procedures, timelines, financial estimates, and out-of-pocket costs
- Present and collect financial agreements and consent forms
- Help patients understand insurance benefits and limitations
- Coordinate specialist referrals, follow-ups, and pre-authorizations
- Follow up on pending treatments and re-care visits via text/email/phone
Financial and Insurance Coordination
- Collect co-pays, deposits, and full payments at time of service
- Process and manage daily payments, insurance claims, and EOBs
- Assist in verifying insurance coverage and entering benefit breakdowns
- Monitor outstanding balances and assist in light A/R follow-up calls or messaging
Administrative Excellence
- Maintain office forms, patient documents, and daily logs
- Support compliance with HIPAA, OSHA, and company protocols
- Report software or system issues as needed
- Collaborate closely with the doctor and clinical team to ensure seamless care delivery
Requirements:
- 1+ years of dental front office experience preferred (OpenDental experience a plus)
- Experience presenting treatment plans and financial options to patients
- Strong understanding of dental insurance and basic billing concepts
- Impeccable verbal and written communication skills
- Professional appearance and exceptional customer service mindset
- Tech-savvy, organized, and comfortable in a fast-paced, detail-oriented environment
- Reliable, punctual, and self-motivated
- Ability to maintain strict confidentiality and professionalism
Bonus Skills (not required but a plus!):
- Knowledge of medical-dental billing (e.g. restorative, implants)
- Experience with digital workflow and paperless office systems
- Experience with dental membership plans
