Job Summary:
Key Functions & Benefits
1. Centralized Employee Records
- Demographics and employment history
- Licensure, certifications, and expiration tracking (e.g., MA, RN, NP, behavioral health licenses)
- Job classifications, departments, and reporting structures
- Compliance documentation (I-9s, TB testing, immunizations, CPR, etc.)
2. Recruitment, Onboarding & Credentialing
- Managing job postings and applicant tracking
- Streamlining onboarding workflows (offer letters, new hire paperwork, acknowledgments)
- Tracking background checks, credentialing, and pre-employment requirements
- Reducing time-to-hire for hard-to-fill clinical and administrative roles
3. Timekeeping, Scheduling & Attendance
- Track employee time, attendance, and PTO balances
- Support different shift schedules and job classifications
- Reduce payroll errors and manual data entry
- Integrate with payroll systems for accurate compensation processing
4. Benefits & Leave Administration
- Administering medical, dental, vision, and retirement benefits
- Managing leaves of absence (FMLA, CFRA, PDL, workers’ comp, etc.)
- Ensuring compliance with California labor laws and internal policies
5. Compliance, Reporting & Risk Management:
- Tracks required trainings and policy acknowledgments
- Generates reports for audits, grants, and leadership review
- Supports HRSA, Joint Commission, and internal compliance requirements
- Reduces organizational risk through automated alerts and documentation tracking
6. Performance Management & Employee Development:
- Performance reviews and goal tracking
- Training and professional development records
- Employee engagement initiatives
- Succession planning and workforce development strategies
7. Data Visibility & Strategic Decision-Making
- Analyze workforce trends (turnover, vacancies, overtime, headcount)
- Forecast staffing needs across clinics and service lines
- Make informed decisions that align staffing with patient demand and funding constraints
