Job DescriptionWe are looking for a dedicated Front Desk Coordinator to join our team in Sartell, Minnesota. This is a long-term contract position where you will play a vital role in ensuring smooth daily operations and providing excellent administrative support. The ideal candidate will bring strong organizational skills, attention to detail, and a commitment to confidentiality.
Responsibilities:
• Manage appointment scheduling and maintain accurate calendars for staff and clients.
• Update and organize client records to ensure data accuracy and accessibility.
• Handle incoming and outgoing mail, including preparing and distributing newsletters and other communications.
• Perform a variety of administrative tasks such as filing, copying, binding, scanning, and typing.
• Answer incoming calls professionally and manage switchboard operations for multiple lines.
• Maintain cleanliness and order in front desk areas, conference rooms, and other shared spaces.
• Support multiple projects simultaneously, ensuring deadlines are met and priorities are balanced.
• Uphold strict confidentiality when handling sensitive information.
• Assist with additional duties as assigned to support team operations.• Associate’s degree or equivalent experience in administrative support roles.
• At least 2 years of experience as an Administrative Assistant or similar position.
• Strong problem-solving and decision-making abilities with a focus on detail-oriented work.
• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Excellent communication skills with a detail-oriented and timely approach.
• Ability to manage multiple tasks and projects effectively.
• Familiarity with receptionist duties, including answering inbound calls and managing switchboard operations.
• Demonstrated ability to handle sensitive information with discretion.
