Summary: A highly organized and detail-oriented Jewelry Coordinator to oversee inventory, support store operations, and ensure the seamless coordination of the jewelry department. This role requires a genuine passion for jewelry, excellent organizational skills, and a keen eye for detail. The Jewelry Coordinator will collaborate closely with the Jewelry Director to maintain smooth operations, upholding the highest standards of quality, accuracy, and efficiency. Provide leadership to uphold company standards and conduct monthly staff reviews to monitor progress, reinforce expectations, and ensure performance objectives are met.
Essential Duties and Responsibilities:
1. Lead the jewelry department team to maximize quality, accuracy, and efficiency in all processes and procedures.
2. Assist with the intake of jewelry pieces, ensuring they are logged and processed accurately. Coordinate the workflow to ensure timely processing of items, moving them through various stages such as polishing, refurbishing, evaluation, pricing, photographing, listing, and final placement.
3. Inspecting incoming jewelry for authenticity and quality, identifying any fakes or items that do not meet company standards. Work with the appropriate personnel to address these issues and ensure only legitimate, high-quality pieces are accepted and put into inventory.
4. Research, analyze, and assign appropriate pricing for pre-owned jewelry items, considering factors such as market value, condition, and demand. Work with teams to ensure pricing reflects both company standards and current market trends.
5. Foster effective communication with personnel across various departments to address areas of improvement, resolve issues, and ensure smooth operations. Be proactive in offering suggestions to optimize workflows.
6. Ensure the accurate transfer of jewelry items between locations or departments. Verify item details (e.g., SKU numbers, descriptions, pricing) to prevent discrepancies and maintain clear records of all transferred items.
7. Assist with refining processes, including accurate adjustments out and tracking of payments.
8. Actively monitor and maintain security protocols to prevent theft, loss, or damage to jewelry inventory. Work with the Jewelry Director to identify potential risks and implement measures to safeguard assets. Report any suspicious activity or inventory discrepancies immediately. Perform regular inventory audits.
9. Ensure all transactions and billing related to jewelry transfers, repairs, and services are processed accurately and in a timely manner. Double-check that all items are billed correctly according to pricing guidelines and inventory records to avoid discrepancies or errors.
10. Inspect outgoing jewelry pieces for quality assurance, ensuring all products meet the company’s standards before they are shipped.
11. Oversee the jewelry department in the Jewelry Director’s absence, ensuring all daily operations continue smoothly and efficiently.
12. Conduct monthly reviews with staff to provide feedback, set goals, and address performance.
13. Be actively involved in staff discipline, coaching, and corrective actions when necessary, ensuring adherence to all company policies, procedures, and performance expectations.
14. Uphold and enforce company standards for professionalism, work quality, and ethical conduct within the department.
15. Additional Duties: Perform other duties as assigned by the Jewelry Director or Executive Management
Requirements:
Qualifications:
Formal Education and Experience Requirement (Must meet one or more of the following requirements):
- Bachelor’s degree (B.A) from four-year College or University
- Associate’s degree
- High School Diploma or GED
- 2+ years of jewelry sales experience
- 2+ years of photography experience
- GIA diploma is preferred
Knowledge:
- Proficient in Microsoft Office Suite
- Proficient in multiple IOS software platforms
- Knowledge of diamonds, colored stones and precious metals
