Job Summary

The Front Office Specialist is responsible for delivering exceptional customer service and administrative support across all assigned medical practices. This role ensures a positive patient experience by following the Simply Better service steps and supporting smooth front-office operations, from patient check-in through check-out.


Key Responsibilities

  • Provide outstanding customer service by greeting patients warmly, assisting with check-in/check-out, and serving as a welcoming host throughout their visit.
  • Ensure all pre-arrival processes are complete and assist new patients with required forms and registration.
  • Accurately verify patient information, insurance eligibility, and collect payments, maintaining error-free financial and registration records.
  • Utilize scheduling systems to register new patients, update records, confirm or reschedule appointments, and manage cancellations, no-shows, and bumped appointments according to protocol.
  • Answer all incoming calls promptly and professionally, directing them appropriately.
  • Monitor patient wait times, update patients and providers as needed, and escalate concerns to management when necessary.
  • Maintain a safe, organized, and welcoming environment in patient areas.
  • Support office operations by sorting, filing, and distributing incoming and outgoing materials.
  • Identify opportunities for process improvement and communicate them to management.
  • Adhere to company policies, procedures, and directives while demonstrating professionalism and teamwork.
  • Perform other related duties as assigned by management.

  • Ability to work independently and collaboratively within a team.
  • Strong organizational, multitasking, and prioritization skills with attention to detail.
  • Logical problem-solving abilities, initiative, and accountability.
  • Proficiency in computer systems, including scheduling and patient registration functions.


Preferred Skills & Experience

  • Minimum of one (1) year of customer service experience in any field.
  • Previous experience in a medical office setting.


Education

  • Required: High school diploma or equivalent.
  • Preferred: N/A


Certifications & Licensure

  • Required: Current BLS for Healthcare Providers.
  • Preferred: Medical Terminology Certificate.
