Job DescriptionWe are looking for a Front Desk Coordinator to join our team on a contract basis in Stevens Point, Wisconsin. This role involves managing front desk operations, coordinating facility services, and providing administrative support to ensure a seamless and detail-oriented environment. The ideal candidate will thrive in a dynamic setting and possess excellent organizational and communication skills.
Responsibilities:
• Greet visitors, answer phone calls, and manage incoming and outgoing mail, packages, and deliveries efficiently.
• Maintain a clean, organized front desk area and oversee common spaces to ensure a welcoming environment.
• Coordinate day-to-day facility operations, including organizing office spaces and ensuring a safe, functional workplace.
• Manage relationships with vendors and service providers to address maintenance, repairs, and other facility needs.
• Monitor and replenish office supplies to ensure inventory levels are consistently maintained.
• Schedule, organize, and coordinate meetings, including room setup and audiovisual equipment preparation.
• Plan and execute company events, such as team-building activities and client gatherings, while managing event calendars.
• Provide administrative support through tasks like filing, data entry, and document preparation.
• Assist in developing and implementing facility-related policies and procedures.
• Act as a liaison between departments to ensure effective communication and resolution of facility matters.• High school diploma or equivalent; an associate’s or bachelor’s degree in business administration or a related field is preferred.
• Proven experience in roles involving front desk operations, facility coordination, or administrative tasks.
• Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Familiarity with office equipment and tools necessary for daily operations.
• Ability to handle sensitive and confidential information with discretion.
• A proactive approach to problem-solving and anticipating organizational needs.
