Administrative Assistant for Mechanical Contractor providing commercial and residential heating, cooling, plumbing and electrical sales and service. Requires a self-motivated individual, with the ability to work independently and as a collaborative team member, with enthusiasm to learn and flexibility to changes.
Candidate must have:
· A minimum of 3+ years of experience in customer service for an HVAC or Plumbing Company
· Previous dispatching experience for HVAC or plumbing a PLUS!!
· Proficient in Microsoft Office (Word, Excel, Outlook) Excel skills are a must
· Excellent written and verbal communication skills
· Strong attention to details and accuracy
· Ability to multi-task, be detail oriented and organized in a fast paced environment
· Upbeat and friendly personality
· Professional attitude and appearance
Duties include, but are not limited to:
· Answering all phone calls and direct them accordingly
· Greet and direct incoming vendors/customers
· Take deliveries
· Provide back up dispatching for primary dispatchers during lunch or busy periods
· Track/update COI’s
· Process payments/deposits
- Permits and Licenses
· Provide administrative support for sales staff by taking appointments and tracking leads and jobs
· Mail, filing, faxing, and scanning
· Will assist with other office needs as necessary
Full time Monday thru Friday 7:30am til 4:00pm - with benefits.
