Onsite | Franklin, TN | Full-Time

We're seeking a sharp, tech-savvy, and construction-knowledgeable Project Coordinator to help keep our residential projects running smoothly from pre-construction through closeout. This is more than an admin role- it's a pivotal position that combines scheduling, permitting, budgeting, systems development, and client support to keep every detail on track.

What You'll Do

Project Coordination & Permitting

  • Manage the transition from Pre-Construction to Construction
  • Pull and track permits (building, septic, etc.)
  • Prepare job notebooks, warranty binders, and long-lead material schedules
  • Keep project milestones and documents up to date in Ressio

Project Budget Oversight & Billing

  • Receive, code, and track trade partner invoices
  • Keep budgets reconciled and accurate using Ressio and Adaptive
  • Facilitate client billing and purchase orders
  • Collaborate closely with the Estimator and Construction Manager

Change Order & Client Support

  • Own the change order process and client communication
  • Ensure selections and specs are accurately reflected in Ressio
  • Create visuals and documentation to support client decision-making

Systems & Documentation Development

  • Turn ideas into templates, tools, and visuals that streamline operations
  • Maintain clean project folders, documents, and reference materials
  • Support the team with educational visuals and 3D renderings when needed

Office Operations & Admin Support

  • Keep the office running smoothly and professionally
  • Manage mail, deposits, supplies, and meeting setup
  • Be the warm, helpful face for visiting clients and trade partners

Who You Are

  • 2+ years of experience in residential construction or design support
  • Comfortable working in Ressio, Google Workspace, and tech-forward systems
  • Organized, proactive, and ready to make things easier for the field and office
  • Familiar with how material lead times and change orders affect schedules
  • Excellent written and verbal communicator-especially when the pressure's on
  • High energy, detail-driven, and motivated by getting things done
  • Bonus: Experience with visuals, renderings, or graphic tools for client-facing docs

Reporting & Team Structure

  • Reports to: Construction Manager
  • Collaborates closely with: Pre-Construction Manager & Estimator
