About the Role
EQUES Law Group is seeking a skilled Probate Paralegal to join our dynamic, multi-office team. This role is integral to supporting our attorneys in probate, estate, and trust matters, ensuring client files are managed efficiently and cases move forward smoothly. The ideal candidate is detail-oriented, self-motivated, and thrives in a collaborative, fast-paced environment.

Key Responsibilities

  • Draft, review, and file probate documents, including petitions, inventories, accountings, waivers, and related pleadings.
  • Prepare correspondence, reports, and case summaries for attorneys and clients.
  • Manage probate case files, deadlines, and court calendars to ensure timely filings and compliance.
  • Track important dates such as hearings, statute deadlines, and filing requirements.
  • Communicate with clients, heirs, beneficiaries, financial institutions, and courts to obtain required information and provide updates.
  • Coordinate with attorneys to prepare for hearings, mediations, and client meetings.
  • Assist with client intake, including gathering and organizing information about estates and assets.
  • Prepare asset spreadsheets, valuations, and distributions for estates.
  • Review and analyze financial documents, property records, and other estate-related documentation.
  • Conduct legal and factual research related to probate and estate law.
  • Maintain accurate records, billing entries, and timekeeping for case-related tasks.
  • Support attorneys with trial preparation when contested probate matters arise.
  • Assist in trust administration, including preparing accountings, notices, and distribution documentation.
  • Provide compassionate and professional client support during sensitive and emotional matters.
  • Contribute to process improvements by recommending and helping implement more efficient probate workflows.
  • Mentor and assist junior paralegals and administrative staff in probate-related procedures and best practices.
  • Collaborate with attorneys and firm leadership to develop training materials and resources for the probate team.
  • Participate in cross-office knowledge sharing to help build firm-wide consistency in probate practices.

Qualifications

  • Minimum 2+ years of experience as a paralegal, preferably in probate, estate, or trust law.
  • Strong knowledge of Ohio probate court procedures and filings.
  • Exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with legal software and Microsoft Office Suite.
  • Paralegal certification or degree preferred, but not required with strong relevant experience.
