This position requires an onsite presence at our beautiful downtown Sarasota office. About the Role:
The Firm Administrator is responsible for managing and overseeing the administrative, financial, operational, and human resource functions of the CPA firm. This position ensures the firm operates efficiently and effectively, supporting partners and staff in achieving strategic goals while maintaining compliance with industry regulations and internal policies. The role requires strong leadership, excellent organizational skills, and familiarity with the unique demands of a public accounting environment.
Essential Duties and Responsibilities:
1. Operational Management
- Directs and manages day-to-day administrative operations of the firm.
- Develops and implements internal policies, procedures, and workflow systems to improve firm efficiency.
- Coordinates firm-wide scheduling, particularly during peak work periods such as tax season and audit deadlines.
- Supports strategic planning initiatives and assists firm leadership in execution and tracking.
2. Financial Oversight
- Assists in the preparation and monitoring of the firm’s budget, financial reports, and cash flow projections.
- Oversees billing, accounts receivable, accounts payable, payroll, and general ledger functions.
- Coordinates with partners on time tracking, WIP management, billing cycles, and collections.
- Manages vendor relationships and negotiates contracts for services and office supplies.
3. Human Resources Administration
- Supports the recruitment, onboarding, and offboarding of staff.
- Administers employee benefits programs and maintains compliance with employment regulations.
- Coordinates performance evaluation processes and employee development programs.
4. Technology and Information Systems
- Works with internal IT staff or external vendors to manage the firm’s software, hardware, and data security infrastructure.
- Ensures effective use of practice management software platforms.
5. Compliance and Risk Management
- Ensures the firm’s compliance with regulatory bodies including the AICPA, IRS, and state boards of accountancy.
- Maintains firm policies on confidentiality, cybersecurity, independence, and ethics.
- Oversees insurance policies, licensing renewals, and other risk management functions.
6. Facilities and Office Management
- Manages office lease agreements, equipment maintenance, and office supply procurement.
- Coordinates space planning and logistics related to seasonal staffing increases or office reconfigurations.
- Ensures a professional, safe, and functional working environment for all staff.
Education and Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field, required.
- Minimum of five (5) years of progressive accounting experience in a mid-sized professional services environment; experience in a CPA firm or law firm, strongly preferred.
- Proven ability to leverage technology and implement automation to enhance accounting workflows and efficiency.
- Strong financial acumen, with experience managing budgets, billing, and internal controls.
- Familiarity with accounting and tax software platforms and practice management systems.
- Proficiency in Microsoft Office Suite and general office systems.
- High level of attention to detail and a commitment to precision in financial work.
Licenses and Certificates:
Certified Public Accountant or Certified Management Accountant designation, preferred, but not required.
Supervisory Responsibilities:
This position typically supervises administrative staff and may oversee outsourced services such as IT support, building services, or payroll providers. Provides leadership and direction to ensure departmental goals align with overall firm objectives.
