The Impact You Will Make
The Legal Administrative Assistant provides essential administrative and legal support to the corporate legal department. This role is responsible for managing legal workflows, coordinating calendars and deadlines, assisting attorneys with filings and research, and maintaining corporate and individual licensure compliance. The successful candidate will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to thrive in a fast-paced, collaborative environment with a strong emphasis on client service.
Essential Duties and Responsibilities:
- Provide comprehensive support to four attorneys, including scheduling, filings, deadline tracking, and assisting with legal research and information gathering.
- Serve as the first point of contact for legal correspondence by logging new matters, organizing documentation, and maintaining the matter management system.
- Draft and prepare legal templates and forms such as cremation authorizations and unable-to-locate notices, and assist with locating next of kin or tracking court filings.
- Manage corporate licenses, permits, and establishment renewals; maintain the license database with timely reminders; and respond to licensing inquiries from internal teams.
- Support department operations by processing mail, organizing and migrating files in SharePoint, managing workflows and new matters in Xakia, and ensuring accurate data entry.
- Coordinate meetings by preparing agendas and notes, scheduling calls and hearings with attorneys, courts, and external parties, and requesting extensions as needed.
- Contribute to departmental efficiency through additional administrative support such as preparing reports, correspondence, and presentations.
Requirements:
- Minimum 5–7 years of administrative support experience, preferably supporting executive leadership.
- Associate’s degree preferred; equivalent experience accepted.
- Prior legal or corporate compliance experience is a plus.
- Must possess a valid state driver’s license and have access to a personal vehicle.
- Excellent organizational skills with the ability to prioritize and manage multiple deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Comfort with databases and matter management systems (experience with Xakia or similar tools preferred).
- High attention to detail, accuracy, and follow-through.
- Ability to maintain confidentiality and exercise professional discretion.
