Our client, A reputable mid-sized law firm is looking to fulfill the need for a direct hire Senior Litigation Specialist based out of the Lafayette (Near Lafayette BART) office location. This position will report five days in the office for the initial training period, then transition to a hybrid work schedule.

Employment Type: Full Time Direct Hire | M - F | 9am – 5:30pm PT

  • Willingness for work related domestic travel as needed
  • Onsite for initial training period, then hybrid reporting

Pay Rate: $95,000 – $105,000 / Annually (+ Full Benefits)

Responsibilities

Administrative support:

  • Attorney and office calendar management (via Outlook). Including scheduling client meetings, events or engagements and reserving conference rooms, coordinating A/V equipment as needed. Maintain calendars showing all deadlines and reminders
  • Oversee attorney inbox and incoming client correspondence via email, phone, and certified mail
  • Coordinating logistics for meetings, interviews, depositions, and trial, including accommodations for travel, working space, supplies, food, files, witness materials, and other support required by the attorneys and other members of the trial team.
  • Initiate conflict checks, and new client/matter forms with client profile buildout in client management database
  • Intake and process client bills and invoices, upkeep, and monthly submissions to internal billing department. Arranging for timely payment of case-related invoices and tracking payments. Review invoices and coordinate wire transfer for payment of other client expenses as directed by attorneys.
  • Support special projects, practice development efforts or ad-hoc tasks that might arise

Document Preparation & Management:

  • Draft, finalize and maintain various legal and non-legal documents or PowerPoint slides. Documents may include proofs of service, TOC/TOAs, discovery and responses. Legal shells (notices, pleadings, briefs, motions, discovery & response, proposed orders, extensions, dismissals). Inserting TOC/TOAs to applicable briefs using features in Microsoft Word, Best Authority, and Westlaw.
  • Responsible for proofreading and correctly formatting all materials consistent with firm policy and attorney standard
  • Conducting factual research as directed by attorneys and preparing summaries.
  • Checking citations in legal documents to ensure citations are formatted correctly via Bluebook.
  • E-filing within California State and Federal Courts. Managing ongoing litigation tasks, docket, and circulate upcoming deadlines for planning purposes.
  • Utilize the document management system as a central repository for all matters and client related documents. Identifying and tracking legal documents for attorneys as needed

Qualifications:

Qualified candidates should possess at least three to four years of experience supporting litigation practice as a legal secretary or practice assistant. A high school diploma (minimum). Proficiency in the MS Office Suite and Adobe Acrobat is essential, along with experience using trial presentation software (On-Cue), and cloud-based document management software (iManage, NetDocs). Practice management software experience. Familiarity in performing court procedure searches and legal research as well as bluebook cite-checking. Must demonstrate exceptional word processing skills, keen attention to detail, and strong organizational and time management abilities. A high level of professionalism is crucial, along with the capacity to thrive in a fast-paced environment by effectively prioritizing tasks.
