Our firm seeks a highly organized and detail-oriented office manager/paralegal with strong accounting and QuickBooks experience to support our legal operations. In this dual-capacity role, you will manage day-to-day bookkeeping and financial tasks for the firm, while assisting attorneys with basic legal support.
Primary Responsibilities:
Accounting & Bookkeeping (60–70%):
• Maintain accurate financial records using QuickBooks Online/Desktop.
• Perform bank and trust account reconciliations on a monthly basis.
• Manage accounts payable and receivable, ensuring timely payment and collection.
• Process client invoices, retainers, and trust fund transactions in compliance with legal ethics rules.
• Coordinate with external CPA or tax professional on financial documentation and reporting needs.
Paralegal & Administrative Support (30–40%):
• Draft basic legal documents such as engagement letters, subpoenas, and correspondence.
• Maintain organized case files and track important deadlines.
• Communicate with clients regarding billing questions, document collection, and administrative matters.
• Support attorneys in preparing for meetings, hearings, trials, or mediations.
Qualifications:
• Associate’s or Bachelor’s degree
• Minimum 2 years of hands-on experience with QuickBooks
• Familiarity with legal trust accounting and compliance
• Working knowledge of legal procedures and documentation.
• Highly organized with strong analytical, communication, and time management skills.
• High ethical standards and discretion when handling confidential financial and legal information.
