We are seeking a highly organized and experienced Assistant Office Manager to join our team and help oversee daily operations across 5+ dental practices in Brooklyn and Queens.
Hourly rates start at $25 per hour. Candidates with meaningful experience can earn higher compensation.
Key Responsibilities:
- Support the Office Manager in overseeing daily administrative operations, ensuring efficiency across all locations.
- Supervise and train front office staff, including receptionists, scheduling coordinators, and billing specialists, to maintain high-performance standards.
- Ensure smooth patient scheduling and appointment management, optimizing provider availability and reducing wait times.
- Oversee insurance verification, billing, and claims processing, ensuring accuracy and timely reimbursements.
- Monitor compliance with office policies, HIPAA regulations, and OSHA standards, implementing necessary improvements.
- Handle patient inquiries, escalations, and conflict resolution with a focus on patient satisfaction and retention.
- Assist in hiring, onboarding, and performance evaluations of administrative staff, fostering a positive and productive team environment.
- Collaborate with the Office Manager and senior leadership to implement operational strategies and improve workflow efficiencies.
- Manage front office inventory, ordering supplies, and maintaining organized office spaces.
- Utilize dental practice management software (e.g., Dentrix Ascend, Open Dental, Eagle soft) to oversee patient records, reporting, and financial tracking.
- Support marketing initiatives and patient outreach programs to enhance practice growth and patient engagement.
Qualifications & Experience:
- 3-5+ years of experience in a dental office management or senior administrative role.
- Strong knowledge of dental office operations, scheduling protocols, insurance verification, and billing procedures.
- Proficiency in dental practice management software (e.g., Dentrix Ascend, Open Dental, Eagle soft).
- Experience in staff supervision, training, and team leadership in a multi-location setting preferred.
- Strong problem-solving and conflict-resolution skills with a patient-first approach.
- Excellent organizational, communication, and multitasking abilities in a fast-paced environment.
- Familiarity with HIPAA, OSHA, and other compliance requirements.
